Coursembly is a training platform operated by Belton IT Nexus Limited, a company registered in New Zealand ("we", "us", "Coursembly"). This policy explains what personal information we collect when you use Coursembly, how we use and protect it, and the rights you have. We handle personal information in line with the New Zealand Privacy Act 2020 and, where it applies, the Australian Privacy Principles (APPs).
White-label and reseller use
Coursembly can be white-labelled and resold by other organisations, including other IT providers. Where you access a Coursembly-powered academy through one of those partners, that partner is the organisation responsible for your learner data (the controller), and their own privacy policy applies to that relationship. This policy covers Coursembly customers and visitors who deal with Belton IT Nexus Limited directly via coursembly.com.
Information we collect
- Account information — your name, work email, organisation, and role when you sign up or are invited.
- Learning activity — the modules you take, progress, quiz results and completion/certificate records.
- Usage data — log data such as IP address, browser, and pages viewed, used to run and secure the service.
- Payment information — billing is processed by our payment provider (Stripe); we do not store full card numbers.
- Communications — messages you send us (for example via support or contact forms).
How we use your information
- To provide the platform — your account, the courses, progress tracking and certificates.
- To administer billing and subscriptions.
- To send service messages (sign-in codes, account and completion notifications).
- To secure the service, prevent abuse, and meet our legal obligations.
- To improve the product and respond to your requests.
We do not sell your personal information.
Who we share it with
We share information only with service providers that help us run Coursembly, under appropriate confidentiality and data-protection terms. These include our cloud hosting provider, our email-delivery provider (Amazon SES), and our payment provider (Stripe). Where you reached Coursembly through a white-label partner, your learning data is shared with that partner as the controller of your academy. We may also disclose information where required by law.
Storage, location and security
We apply administrative, technical and organisational safeguards — including encryption in transit, access controls, tenant isolation and audit logging — to protect personal information. Data may be processed on infrastructure located in New Zealand, Australia or other regions used by our providers; where information is handled outside your country, we take reasonable steps so it remains protected to a comparable standard.
Your rights
You can ask to access or correct the personal information we hold about you (NZ Privacy Act 2020, IPPs 6 and 7; equivalent rights under the Australian Privacy Principles). If you reached Coursembly through a white-label partner, please direct those requests to that partner; we will assist them as needed.
Cookies
We use essential cookies to keep you signed in and to operate the platform, and limited analytics to understand usage and improve the service. You can control cookies through your browser settings; disabling essential cookies may stop parts of the platform working.
Retention
We keep personal information for as long as your account is active and as needed to provide the service, then for any period required to meet legal, accounting or reporting obligations, after which it is deleted or de-identified.
Changes to this policy
We may update this policy from time to time. We will post the updated version here and change the "last updated" date above.
